The provider gets chosen on a monthly rate, the reconciliation habit never forms, and nobody writes down what staff may do with a card number. The order of the work matters as much as the work, and the whole sequence fits inside a week.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Business Bank Account Separation<\/h2>\n\n\n\n<p>Open a business checking account before anything else and route every deposit through it. Mixing personal and business money makes reconciliation impossible, complicates taxes, and weakens the liability protection an owner formed the company to get.<\/p>\n\n\n\n<p>The account name should match the legal business name on the merchant application exactly. A mismatch between the two is the most common reason a first settlement gets held, and resolving it takes days that a new business does not have.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Provider and Pricing Review<\/h2>\n\n\n\n<p>Ask for the pricing model in writing before signing. Interchange-plus pricing shows the network cost and the provider&#8217;s margin separately. Flat-rate pricing hides both inside one number, which is simpler to read and usually more expensive above about $15,000 in monthly volume.<\/p>\n\n\n\n<p>Get the answers to four questions in writing. What is the settlement timing? What does a chargeback cost? What is the contract length and the early termination fee? What happens to stored customer data if the business leaves? Providers that will not answer the fourth question in writing should be removed from the list.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Channel Coverage for Every Order Source<\/h2>\n\n\n\n<p>List every way money currently arrives. Counter sales, website orders, phone calls, emailed invoices, and payments collected in the field are five separate channels, and most providers cover two or three of them well.<\/p>\n\n\n\n<p>Adding a <a href=\"https:\/\/finix.com\/virtual-terminal\">virtual terminal merchant account<\/a> covers the phone and invoice side without a second provider relationship, which keeps deposits arriving as one batch instead of two. Businesses that solve each channel separately end up with three dashboards, three settlement schedules, and no single view of what a customer has paid.<\/p>\n\n\n\n<p>Customer expectations set the floor here. Cards are accepted by 96% of small businesses and wallet apps by 90%, so a company missing either one is asking a customer to solve a problem the competition already solved. Shopper tolerance for friction keeps dropping, and user expectations now assume the payment method someone already carries will work.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Surcharge and Disclosure Rules<\/h2>\n\n\n\n<p>About 34% of merchants now add a surcharge when a customer pays by credit card, and any business considering it needs to check its own state first. Several states restrict or prohibit the practice outright, and legislatures elsewhere keep revisiting a ban on surcharges session after session.<\/p>\n\n\n\n<p>Disclosure rules are tightening even where surcharging is allowed. New York now requires businesses to show the total including any <a href=\"https:\/\/www.cbsnews.com\/newyork\/news\/credit-card-fees-surcharge-new-york-businesses-restaurants-prices\/\">surcharge in the price<\/a> a customer sees before checkout, and caps the amount at what the business actually pays. Card network rules add their own conditions, including advance notice and a ban on surcharging debit.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Refund and Dispute Procedure<\/h2>\n\n\n\n<p>Write the refund policy before the first sale and put it on the receipt and the invoice. A visible policy is the single cheapest defense against a dispute, because a customer who can find the policy usually calls the business instead of the bank.<\/p>\n\n\n\n<p>Decide who has refund authority and cap the amount they can issue without approval. Then decide what evidence gets kept for every sale. A delivery confirmation, a signed work order, or an email approving the amount is what a dispute response is built from, and none of it can be created after the fact.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Card Data Rules for Staff<\/h2>\n\n\n\n<p>Put one page in the employee handbook covering what may happen to a card number. It should say that numbers are typed directly into the payment screen and nowhere else, that no one writes a number on paper or in a message, and that call recordings pause during entry.<\/p>\n\n\n\n<p>Add a rule for what staff say when a customer offers to email a card number, since that request arrives weekly in some industries and the answer needs to be the same every time. Sending back a secure payment link takes ten seconds and moves the risk off the business.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Reconciliation Routine<\/h2>\n\n\n\n<p>Match deposits against sales once a week rather than once a month. Weekly matching catches a missing batch while the provider can still explain it. Monthly matching catches it after four weeks of compounding errors.<\/p>\n\n\n\n<p>The routine is short. Pull the provider&#8217;s settlement report, compare it against the bank deposit, and confirm the fee total against the pricing model agreed to at signup. Fee creep is real, and it is invisible to anyone who only looks at the net deposit.<\/p>\n\n\n\n<p>Keep the reports. A provider that changes pricing mid-contract will point to a notice buried in a statement, and the only way to argue the point is a file of prior statements showing what the rate used to be. Two years of monthly reports in one folder costs nothing and settles the conversation in ten minutes.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Tax Reporting Setup<\/h2>\n\n\n\n<p>Know which forms are coming before January. Card transactions processed through a merchant account are reportable with no minimum dollar amount, so a business doing $4,000 a year still gets a form. Third-party network transactions follow a different rule, and the <a href=\"https:\/\/www.kiplinger.com\/taxes\/irs-1099-k-threshold\">1099-K threshold<\/a> for those sits at more than $20,000 in gross payments and more than 200 transactions after a 2025 reversal of the lower figures.<\/p>\n\n\n\n<p>Reconcile the annual form against internal sales records before filing. The reported figure is gross, so refunds, chargebacks, and provider fees are not deducted from it, and an owner who files against the gross number pays tax on money the business never kept.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The First Thirty Days<\/h2>\n\n\n\n<p>Eight items, one week. The bank account and the provider comparison take two days, the channel list and the written policies take one, and the reconciliation routine takes an hour to define and fifteen minutes a week to run afterward. Everything on this list costs less to do now than to repair later, and the repair usually starts with an owner reading a settlement report for the first time in eleven
